What is QualSearch?

QualSearch is an electronic qualification verification service. Participating Australian academic institutions provide access to their data to validate qualifications awarded. QualSearch is run by the Queensland Tertiary Admissions Centre (QTAC) Ltd with participation and cooperation from institutions and Tertiary Admissions Centres around Australia.

Who can be a Registered QualSearch User?

  1. Recruitment Agencies and Other Organisations. To be a registered recruitment user of QualSearch the recruiter / organisation needs to be a current member of a recognised recruitment association or other professional body. These include Recruitment & Consulting Services Association Ltd (RCSA), National Personnel Associates Cooperative, Inc. (NPA), other recognised Human Resources groups or specialist Professional bodies.
  2. Government Department, Agency or Business Employees. Employees within departments, agencies and businesses of local, state or federal governments who are involved in recruitment activity are eligible to become registered QualSearch users.
  3. Educational institutions. Educational institution staff involved in student or staff recruitment are eligible to become registered QualSearch users. The education provider must have accreditation as a higher education provider on the Australian Qualifications Framework (AQF) Register of Recognised Education Institutions & Authorised Accreditation Authorities in Australia (www.aqf.edu.au/register.htm).

How do I become a Registered QualSearch User?

If you are eligible to become a registered QualSearch user (see Who can be a registered QualSearch User) the next step is to undertake the online demonstration of QualSearch. If the types of services available through QualSearch would be of benefit to your organisation, the Access Agreement must be completed.  Following the demonstrations please contact QualSearch at email applications@qualsearch.com.au if you wish to proceed to the agreement stage.

How do I undertake a QualSearch demonstration?

QualSearch demonstrations are conducted online via the website. Please go to the 'What is QualSearch tab' at the top of the webpage. There are two demonstration modules of 10 minutes each.  The first deals with retrieving requests from the service, while the second deals with making requests on the service.

What is a QualSearch Access Agreement?

The QualSearch Access Agreement is a standard legal document that governs and legally binds the registered QualSearch user to all clauses, conditions and any Acts mentioned that regulate the use of QualSearch. Access to the service is governed and regulated by this Agreement and non-compliance with this Agreement can result in termination of access to QualSearch. The Agreement lists eligible usage, conditions of usage, registered user process, operational parameters, database accessibility requirements, reporting requirements, auditing procedures, performance standards, corrective action processes, as well as privacy and non-compliance clauses.

How much does it cost?

There is no joining fee to become a registered QualSearch user. For agency, specialist and government recruitment each QualSearch transaction is charged at a rate of A$55 (inclusive of GST). An annual review of fees and charges occurs each July. Some recruiters using QualSearch pass on the cost of qualification verification to their clients. Bulk purchase prices can be arranged. Invoiced are forwarded monthly with fourteen (14) days payment required. Electronic payment can be accepted. QualSearch transactions are charged per applicant regardless of the number of qualifications being verified per applicant.

How do I login to QualSearch?

If you are a registered user of QualSearch, click on the Participant Login button in the bottom right hand corner of the QualSearch homepage.

Answer Yes to any security questions which will open the QualSearch Java applet window with secure login.

QualSearch would have provided each user with a username and password. Enter these details in the appropriate fields and click Login. This will take you to the Welcome screen of the QualSearch service and you can now navigate between the functional tabs.

Other qualifications

QualSearch is primarily intended to electronically verify Australian tertiary qualifications. The provision of other qualifications verification service is constantly under review and will be considered in the future.

What do i do if i forget my QualSearch password?

If you have forgotten your QualSearch password, please email admin@qualsearch.com.au, or call 07 3858 1211 to speak with a QualSearch Client Service Officer. QualSearch will then reset your password.

A QualSearch Client Service Officer will then contact you to advise you of your new password. For security reasons, we will not provide your reset passwords via email.

On your next login with your new password, you will be required to alter the password that has been provided. Passwords must be between 6 and 12 characters in length and can only contain alpha (A-Z) and numeric (0-9) characters. There should be no spaces or other punctuation marks. For added security you should change your password regularly.

What educational institutions can be searched via QualSearch?

Records from participating institutions, and their predecessor institutions, can be accessed from within the period of electronic records being held at the institution. The table lists current institution participants.

What are the IT requirements?

QualSearch is a Java applet which should run in any Java-enabled Web browser including the Java plug-in Java Runtime Environment (JRE) 1.4 or newer. This is freely available from the internet if the requestor’s browser does not have this tool. Most browsers will prompt users to download the Java applet if required, with load instruction provided. For users to view the system easily, the screen resolution needs to be set to a minimum of 1024x768.

If your Internet Explorer / Java combination uses proxy configuration files, an amended entry path will be required. Please contact QualSearch for further set-up instruction.

To ensure that your computer is compliant with the technical specifications to run QualSearch please test the following:

  1. You will need a computer with an internet connection, Java and Adobe.
  2. Log onto www.qualsearch.com.au
  3. Click on the Participant Login, bottom right of the screen.
  4. Click Yes on the security question.
  5. You should now be at the QualSearch log in screen. If you do not get to either steps 3 or 4 it is likely that you need to update your Java. This can be downloaded from the web at www.java.com
  6. Ensure that you have a media player installed for the QualSearch demonstrations.

What rights does the applicant have?

Applicant authority is required prior to results validation being undertaken. Appropriate wording must be incorporated into QualSearch participant application documentation. Having applicant authority is critical to meet privacy legislation requirements and to assure appropriate use of applicant data retrieved by QualSearch.

As part of the applicant authority QualSearch requires that applicants be aware that the results of the search can be made available to them on request. The availability of the data to applicants provides valuable feedback and may assist in the recognition of incomplete 'replies' resulting from incomplete or inaccurate identification of data. Providing feedback to applicants enables the applicant to work with the relevant institution to correct records where necessary.

The content of the Authority Statement is necessarily varied in order to reflect the nominated service levels provided to QualSearch participants. These authority statements form part of the audit processes of QualSearch to ensure the rights of the applicant are clearly stated and upheld by participants.
